ROOM BLOCKS

HOW DO I MAKE A RESERVATION FOR AN EVENT?

In order to reserve an individual room, or a block of rooms, please visit our Events page. Find your event, and click the ‘Book Now’ button. You will be directed to a page that displays all of our select properties for the event. Once you find the hotel that fits your needs, you will then have the option to either book an individual room, or hold a block.

***If you are planning to reserve an individual room, please communicate prior with your team’s coach/director/travel coordinator, as they may be planning to reserve a group block for your entire team***

WHAT IF THERE ARE NO ROOMS LEFT AT THE HOTEL I WANT?

Don’t worry...there may be more rooms available. Please give us a call at (914)402-8070, and one of our team specialists will get in touch with the hotel directly. If we are unable to secure an additional room at your preferred hotel, an AH representative would be happy to speak with you in order to find a similar hotel.

I NEED ASSISTANCE IN ORDER TO COMPLETE MY RESERVATION…

Our mission is to provide the best available options to all attendees and to ultimately secure as many people as possible in the hotel of their choice. MODIFYING OR CANCELLING A RESERVATION

HOW CAN I MODIFY OR CANCEL MY RESERVATION?

You will be able to modify or cancel your reservation directly through your confirmation email that is provided to you after making your reservation. This email will be sent from Customerservice@mytravel.support and you will need your ARN reservation number to access your reservation.

CANCELLATION FEES

WHAT IS THE AH CANCELLATION POLICY?

Athletes Hospitality always follows the cancelation policy given by our contracted hotels. Athletes Hospitality does not have any cancellation fees on our reservations as the only fee you are charged is the $15 service fee.

Families who cancel their reservation after the hotel issued deadline will be subject to the hotel cancellation policy. Athletes Hospitality has no control over that penalty.

This penalty is in place due to the hotel providing a discounted rate and protects their loss of income due to last minute availability.

Again, this fee is only charged when a confirmed reservation is canceled after the hotel specified cancellation date. This date is specific to each event and is stated on your reservation confirmation email.

If you cancel your reservation prior to the specified cancellation date, then you will be fully refunded, less a $15 processing fee.

AM I CHARGED AN AH CANCELLATION FEE TO MODIFY MY RESERVATION?

The Athletes Hospitality cancellation fee is ONLY for fully cancelled reservations.  If you add a night, take a night away, change dates, etc., you will not be charged an AH cancellation fee.

*** Please note the hotel cancel policy is separate from the AH cancellation fee. Please check your Guest Receipt email for details and review the hotel cancelation policy at booking ***

WHERE CAN I FIND THE DETAILS OF THE CANCELLATION POLICIES?

Both the Athletes Hospitality cancellation policy (if applicable) and the hotel cancellation policy are listed on your Guest Receipt email.

IF I TRANSFER MY ROOM RESERVATION TO ANOTHER PARENT/PERSON, WILL I INCUR THE AH CANCELLATION FEE?

If you transfer your reservation, there are no transfer or cancellation fees. To transfer the reservation please call AH at (914)402-8070 or click ‘Modify reservation’ in your confirmation email you received from Customerservice@mytravel.support.


STAY TO PLAY / HOUSING REQUIREMENTS

WHAT IS 'STAY TO PLAY' OR A 'HOUSING REQUIREMENT?'

The Stay to Play program requires athletes who participate in certain events that are designated by the tournament management as “Stay to Play” to book their hotel accommodations through the event’s contracted housing company in order for the athlete to participate in the competition. 

By using AH, your team is able to establish room blocks — a certain amount of rooms that are put aside for their use only, thus ensuring athletes and parents have the first shot at making reservations at their desired hotel(s). Stay to Play also saves the team money. Our purchasing power allows us to secure the best hotels and accommodations at the lowest rates for the tournament dates.
